Fleet setup guide

The full path from an empty fleet to a working one: add charge keys, cars, and drivers, link them together, and put them in a team or member discount that decides who pays.

Everything starts under Fleet, where you first choose Internal (your own organization's fleet) or External (a customer company's fleet, see Internal & External Fleets). The building order below works for both.

1. Add charge keys

  1. Go to Fleet, choose Internal or External, and open the Charging keys tab.
  2. Click the add button and enter the key value: an RFID code or a MAC address (letters and numbers only), optionally with an alias.
  3. Optionally link the key to a driver or car right away.
  4. Save.

A charge key also works as a virtual payment method: drivers assigned to it can select it in the app and start fleet sessions from their phone, with billing routed through the fleet setup.

Use clear names such as Driver-Emma or Van-01 for easier tracking in reports.

2. Add cars

  1. Open the Cars tab and click the add button.
  2. Enter the car alias, plate number, and VIN number.
  3. Save, then link the car to its charge keys and drivers.

Remember: setting a car inactive later deactivates all charge keys assigned to it.

3. Add drivers

  1. Go to Fleet → List of drivers and click the add button.
  2. Enter the driver's email address (add several by pressing Enter after each).
  3. Assign a charge key and/or a member discount: a driver needs at least one of the two.
  4. Save.

The driver receives an invitation email with a redemption code to activate their account in the EOSVOLT app; until then they show as (pending). Details on all three building blocks are in Charge Keys, Cars & Drivers.

4. Create a team or a member discount

This is the who-pays decision (the full comparison is in Teams & Member Discounts):

  • A team groups charge keys and is billed offline to the organization. The wizard walks through five steps: charge keys, an optional spending limit (a fixed amount per key, resetting daily, weekly, or monthly, with keys disabling when it is hit), allowed locations, pricing (Set new pricing, Use location pricing, or Discount (%)), and settings (Skip booking fees, Require odometer reading, status).
  • A member discount attaches special pricing to drivers, who still pay in the app themselves at the discounted price. The wizard covers drivers, locations, pricing (same three strategies), and settings.

Create either from its tab under Fleet: pick the keys or drivers, the locations where it applies, and the pricing, then save.

5. Add external companies (optional)

If you service customer fleets:

  1. Under Fleet → External, open List of companies and click the add button.
  2. Enter the Company name and the administrator's Email, then save.

The company's administrator is invited on that email and gets a fleet manager login scoped to their own fleet: they manage their drivers, cars, and keys themselves, while pricing stays with you. See Internal & External Fleets.

6. Verify the setup

  • Check that drivers and charge keys are linked as intended.
  • Confirm teams and member discounts have the right locations and pricing.
  • Run one test session per billing flow: a team key (offline billed) and a member-discount driver (in-app billed).

Start with a small test setup before onboarding full fleets or external clients, so billing and access control are verified on one driver first.

Common questions

What order should I set things up in? Keys, cars, drivers, then the team or member discount that ties them together. Teams need keys to exist; member discounts need drivers.

Do I need both a team and a member discount? No, they are alternatives per group of people: teams when the company pays (offline), member discounts when drivers pay in the app at special prices.

The driver never got the invitation. Check the address, or look up the invite's delivery status under Intelligence → Email delivery. You can also hand over the redemption code manually.

How do I cap an employee's charging spend? Put their key in a team with a spending limit: a fixed amount per key per day, week, or month.

When do I add an external company? When a customer fleet should manage its own people and keys with their own login. If you manage everything yourself, internal fleet constructs are enough.
